Job Description

JOB TITLE: Secretary to High School Principal & Associate Principal 

TYPE OF POSITION: Classified

REPORTS TO: Principal & Associate Principal

Pay Class: IV, 223 days (40 days beyond teachers)

POSITION PURPOSE:  Performs secretarial duties in elementary or secondary school. Schedules appointments, gives information to callers, takes dictation, and otherwise relieves principal and associate principal of clerical work and minor administrative and business detail.

ESSENTIAL FUNCTIONS:  To perform this job successfully, an individual must be able to perform each essential function satisfactorily.

  1. Reads and routes incoming mail. Handles office correspondence at the direction of the associate principal.

  2. Takes dictation and transcribes notes.

  3. Files correspondence and other records.

  4. Arranges travel schedule and reservations for associate principal.

  5. Maintains a daily teacher attendance log and records for substitute teachers (WillSub)

  6. Contact substitute caller to hire substitutes for absent teachers.

  7. Purchases and prepares coffee and snacks for meetings as required by the associate principal.

  8. Dispenses supplies to teachers; keeps inventory of keys.

  9. Works closely with the associate principal to coordinate special functions, breakfasts, luncheons, and meetings.

  1. Schedules appointments for principal and maintains a calendar of events.

  1. Purchases and maintains inventory of office and school supplies.

  2. Answers telephone and gives information to callers or routes to appropriate officials and places outgoing calls.

  3. Arranges travel schedule and reservations for principal.

  4. Records minutes of staff meetings.

  5. Prepares publications such as Minuteman Minutes and a daily bulletin.

  6. Plan Commencement

  7. Prepares textbook orders and maintains records regarding textbooks.

  8. Prepares reports for teacher observations and goal setting, staff attendance, teachers and student handbooks, and NCA.

  9. Keeps record of postage used and manages bulk mailings.

  1. Performs other duties as assigned.

QUALIFICATIONS:

  1. Six months to one year related experience and/or training; or equivalent combination of education and experience.

  2. High school diploma.

  3. Ability to prepare written reports and correspondence.

  4. Ability to communicate effectively with groups of students and parents.

  5. Skills in human relations.

  6. Ability to plan and organize; good work habits.

  7. Ability to type accurately at a minimum speed of 50 words per minute. Employee should also be able to use the machines, tools, equipment, and work aids which may be representative, but not all inclusive, of the commonly associated with the type of work, i.e., computers, printers, copiers, and postage meter.

  8. Other qualifications that the School Board may require.
