JOB TITLE: Assistant Athletic Director
TYPE OF POSITION: Professional (261 days)
REPORTS TO: Athletic Director and Building Principal
PAY RANGE: $70,840-$78,711
POSITION PURPOSE: As a member of the athletic leadership team, this role supports the Athletic Director in creating a safe, positive, and high-expectations environment for student-athletes, coaches, and spectators. The position coordinates the operational, logistical, and communication needs of the athletic department, including event management, scheduling, facility use, and program promotion.
ESSENTIAL FUNCTIONS
- Assist the Athletic Director in coordinating and supporting all athletic programs, events, and activities.
- Plan, organize, and oversee game-day operations, including scheduling event staff, securing officials, coordinating ticketing, and ensuring facilities are prepared for competitions.
- Coordinate athletic event coverage, including public address announcements, livestreaming, photography, social media content, and communication with local media outlets.
- Assist with scheduling athletic contests, practices, transportation, facility use, and special events.
- Serve as an on-site administrator at athletic events, providing supervision and ensuring compliance with school, conference, and IHSAA expectations.
- Support student-athletes, coaches, and families by providing timely communication regarding schedules, eligibility requirements, athletic procedures, and event information.
- Assist in monitoring student-athlete eligibility and maintaining required participation records.
- Coordinate athletic department communications, including website updates, social media platforms, digital signage, promotional materials, and event marketing.
- Assist with the planning and execution of athletic recognition programs, awards ceremonies, senior nights, signing events, hall of fame activities, and other special events.
- Maintain athletic records, statistics, rosters, participation data, and historical accomplishments.
- Coordinate the collection and organization of required student-athlete documentation, including physicals, consent forms, and other compliance-related records.
- Collaborate with coaches, maintenance staff, custodial staff, transportation personnel, and school administrators to ensure athletic events operate efficiently and safely.
- Assist with sponsorship initiatives, community partnerships, and booster club activities that support athletic programs.
- Support the Athletic Director with budget tracking, purchasing, inventory management, and equipment coordination.
- Ensure athletic facilities are properly prepared before and after events and report facility, equipment, or safety concerns.
- Maintain knowledge of applicable IHSAA, conference, and school regulations and assist in ensuring compliance.
- Develop positive relationships with students, families, staff, community members, and visiting schools to promote a positive athletic experience.
- Assist with student supervision and administration of extracurricular activities and ensure compliance with security procedures.
- Perform other duties as assigned by the Athletic Director or building administration.
QUALIFICATIONS
- Bachelor's degree preferred.
- Previous experience in athletics, education, event management, communications, or related fields preferred.
- Successful coaching or event coordination experience preferred.
- First Aid and CPR certification or ability to obtain certification.
- Strong organizational, communication, and interpersonal skills.
- Demonstrated ability to manage multiple projects and deadlines simultaneously.
- Experience with social media, event promotion, and digital communication platforms preferred.
- Ability to work collaboratively with students, staff, families, and community partners.
- Strong attention to detail and problem-solving skills.
- Other qualifications as deemed desirable by the Superintendent and School Board.
